Role Summary
The Finance & Compliance Administrator is a fiduciary, governance-critical role
responsible for safeguarding the financial integrity, compliance posture, and
internal controls of a growing multi-campus church operating as one
centralized organization with multiple physical locations and a robust virtual
campus.
This role is not limited to bookkeeping or data entry. It exists to ensure
disciplined financial operations, accurate reporting, compliance readiness, and
risk mitigation as the organization transitions from an all-volunteer model into
paid staff and continues to scale responsibly.
The ideal candidate brings nonprofit financial expertise, professional judgment,
and a high standard of ethical accountability, with the confidence to operate in
direct relationship with executive leadership.
Key Responsibilities
Financial Operations & Oversight
Oversee all location finances teams operations
Perform weekly bank reconciliations and ensure accurate, timely
categorization of all income and expenses
Maintain clean, audit-ready financial records consistent with
nonprofit accounting standards
Monitor balances across accounts and promptly flag discrepancies,
anomalies, or policy deviations
Ensure consistency and accuracy across centralized and campus
level financial activity
Payroll & Compensation Administration
- Oversee payroll processing or coordinate with third-party payroll
providers - Ensure compliant handling of compensation, stipends, and housing
allowances - Support proper employee vs. contractor classification
- Maintain payroll documentation and reporting (W-2 / 1099
coordination)
Compliance, Controls & Fiduciary Risk Management
- Implement and maintain internal financial controls, including
approval workflows, documentation standards, and separation of duties - Track and manage donor-restricted and designated funds in
accordance with donor intent and nonprofit regulations - Ensure adherence to internal financial policies and applicable
nonprofit compliance standards - Maintain strict confidentiality of financial, donor, and personnel
information
Reporting & Executive Support
- Prepare clear, concise weekly and monthly financial summaries for
the Senior Leader - Provide short-term cash-flow visibility and payroll impact analysis
- Support executive decision-making with timely, accurate financial
insight
Authority & Reporting Structure
- Reports directly to the Senior Leader
- Operates with fiduciary authority to surface financial, compliance,
or governance risks - Works in close coordination with the Director of Operations to
align financial systems with operational execution - Has explicit permission and expectation to escalate concerns
requiring executive awareness or corrective action
This role requires professional independence, sound judgment, and
discretion.
Scope Boundaries (Role Exclusions)
To preserve focus and maintain part-time scope, this role does not own or
lead:
- Fundraising strategy or donor cultivation
- Budget creation (supports execution and reporting, not
origination) - Grant writing or development initiatives
- Human Resources beyond payroll administration
- Long-range strategic financial planning
Required Competencies
Demonstrated experience in nonprofit accounting and financial
operations
- Payroll administration and compliance awareness
- Internal controls and fiduciary governance knowledge
- High attention to detail with disciplined organizational practices
- Strong professional judgment, discretion, and confidentiality
- Ability to operate independently in a centralized, multi-campus
environment
Qualifications & Experience
3–5+ years of experience in nonprofit finance, accounting, or
compliance
- Proven experience with payroll oversight and internal financial
controls - Familiarity with U.S. nonprofit financial and compliance standards
- Proficiency with accounting and payroll software platforms
- Experience in faith-based or multi-site nonprofit organizations
preferred
Certifications & Professional Standards (Preferred)
CPA (Certified Public Accountant), CMA (Certified Management
Accountant), or comparable professional certification preferred
- Formal training or certification in nonprofit accounting or financial
compliance strongly preferred - Equivalent professional experience with documented fiduciary
responsibility may be considered
Security, Integrity & Compliance Requirements
Successful completion of background and reference checks
- Must be bondable or willing to obtain a fidelity bond if required
based on access and role scope - Demonstrated history of ethical financial stewardship and fiduciary
responsibility
Work Structure & Compensation
15–20 hours per week, scheduled and consistent
- Initially structured as a contractor role, with potential transition to
employee status as the organization grows - Monthly Retainer: $2500.00
