Position Overview

The Executive Administrator serves as the primary administrative and
execution agent to the Senior Leader of a growing, multi-campus church
operating as one centralized organization.

This role is not a personal assistant position. It is a governance-adjacent
administrative role responsible for protecting executive bandwidth, managing
information flow, tracking executive decisions, and ensuring follow-through
across departments and campuses.

The Executive Administrator ensures that executive directives translate into
action without requiring constant Senior Leader intervention.

Core Function

To steward the Office of the Senior Leader with order, discretion, and
execution discipline, ensuring that decisions move efficiently from strategy
to completion.


Key Responsibilities

Executive Office & Calendar Management

  • Manage the Senior Leader’s calendar, prioritizing strategic overreactive commitments
  • Coordinate executive meetings, briefings, and high-level engagements
  • Prepare agendas, briefing notes, and meeting materials as needed
  • Ensure time allocation aligns with organizational priorities

Decision Tracking & Follow-Through

  • Maintain an executive action log of decisions, assignments, and deadlines
  • Track follow-through across leaders, departments, and campuses
  • Proactively follow up on outstanding action items without requiring Senior Leader’s prompting
  • Escalate delays, bottlenecks, or misalignment appropriately

Information Flow & Gatekeeping

  • Serve as a filter for requests, communications, and issues directed to the Senior Leader
  • Determine what requires immediate attention, delegation, or deferral
  • Ensure the Senior Leader receives clear, concise, and relevant information
  • Reduce noise, redundancy, and unnecessary interruptions

Cross-Department Coordination

  • Coordinate communication between Operations, Finance, Digital, and Campus Leadership
  • Reinforce centralized priorities and timelines
  • Support alignment and clarity across teams and locations

Confidentiality & Professional Discretion

  • Handle sensitive information related to leadership decisions, personnel, finances, and strategy
  • Maintain strict confidentiality and professional boundaries
  • Represent the Office of the CEO with maturity and neutrality

Authority & Reporting Structure

  • Reports directly to the Senior Leader
  • Operates with delegated authority to:
  • Follow up on executive directives
  • Request updates and status reports
  • Reinforce deadlines and expectations
  • Works closely with the Director of Operations to support execution
    and alignment

Qualifications & Experience
  • 3–7+ years experience in executive administration, senior administrative support, or operations
  • Experience supporting C-suite executives, founders, or senior leaders strongly preferred
  • Background in nonprofit, faith-based, or multi-site organizations preferred
  • Proficiency with calendars, project tracking tools, and communication platforms
